Holy Family Parish Council meeting June 16, 2009
Exposition – More people are needed to spend time in prayer during Exposition. Fr. Joe suggested assigning families to take hours of adoration. Kathy will coordinate.
Funeral issues – Discussion was held regarding what services we should provide to families when their loved one dies. Currently the parish offers a family meal before the wake, coffee and sweets after the wake, and a meal or sandwiches/salads after the funeral. It was decided we can never do too much for them, but we need MORE people to help. A suggestion was given that the parish be divided into 3 groups. The groups would take turns being responsible for the next funeral .
How to grow spiritually – Fr. Joe has been here a year now. Things are going well as far as liturgy, youth faith formation, parish activities, etc. How can we grow spiritually as a parish and adult faithful. Your ideas are welcome and encouraged. What would you like to do? Learn? Be involved in?
Synod activities and appointments will be discussed and acted upon at the next meeting.

Parish Life
*Faith formation for this year is going well. Children’s Liturgy of the Word has been implemented for the pre-school through third grade youth twice a month.
*One Why Catholic? group has begun on Sunday mornings and Bev’s group will begin soon. There is still time for anyone to join!
*The implementation of this year’s Safe Environment training is on schedule.
*Our fall dinner went very well. 410 people were served with a net profit of aproximately $2000.00. The bake sale, stew luncheon and raffle will be held on Sat., Dec 2nd from 11 am – 1 pm.
*The mission bulletin board has been put up. It is a reminder to the parish of our commitment to serve the poor in our community and in our world. We will again give a donation to the Red Lake Mission at Christmas and participate in the Advent Giving project through the Diocese of Crookston to assist in the needs of Care and Share and St. Mary’s Mission, Red Lake; and Fr. Jack’s Mission, Peru.
*Joe Noel suggested that the parish resign their position on the Hillsboro Medical Center Board of Control as we have not been involved with the board for several years. Fr. Tom and the PAB agreed.
*There has been concern raised about the after-Mass hospitality. - “cannot afford to serve”, -“people bring too much”, “would prefer a simple luncheon like it used to be”, -“prefer no hospitality in the summer”. The board will look into the concerns.
*The hot water heater does not seem to be working properly. Joe and Ron will check on this. It was also brought up that a small, under-the-sink commercial dishwasher would be of great value in the kitchen. Cost and feasibility will be looked into.
Parish Worship
*The Ecumenical Thanksgiving service will be held at Halstad Lutheran this year on Nov 22nd at 7 pm. Fr. Tom will give the reflection.
*Since the 4th Sunday of Advent is Dec 24th, our TENTATIVE mass schedule that weekend will be:
4th Sunday of Advent (Sunday, 12/24) at 10:00 am
(IF we can get a substitute priest for this mass – if not, it will be at the regular time of 11:30 am)
Christmas Day Mass (Mon., Dec 25th) at 10:00 am
*Our paperback hymnals must be replaced yearly per terms of the subscription with OCP. This year’s hymnals have been received. Fr. Tom is working on having the new hardcover JourneySong hymnals the Navy
no longer uses donated to Holy Family. If this happens, we will not need to purchase hymnals for a few years.
Parish Finance and Stewardship
*Year-to-date budget printouts were handed out and are available to the parish.
*A separate board meeting is scheduled to discuss stewardship. The parish is invited to this meeting
(as they are to all meetings). This meeting is scheduled for November 13th at 7 pm
*The church building is paid off, so it was decided that we would not have
the calendar raffle in 2007.

Present – Fr. Tom, Joe Noel, Jim Suda, Tom McNamee, Bev Kolness, Danette McCradie, Kathy Shulstad, Cheryl Hemberger, Bonnie Lee Excused-Ron Hemberger
Prayer was led by Bev
Fr. Tom passed out the 2005-2006 year-to-date budget. We are $3000 ahead of expenses so far. Our fiscal year ends June 30, 2006.
Next year’s proposed budget was reviewed. We are looking at a possible $8000-$10,000 shortfall. It was suggested to put the monthly budget income and expenses in the bulletin to show parishioners if we are ‘keeping up’ with expenses.
New items to the budget were rectory expenses, St. Joseph phone expense, office equipment upkeep, Fr. Tom’s business cell phone.
It was noted that all 3 parishes maintain and upkeep their own computers, phones and copiers and that 3 years ago, it was decided that each parish should maintain their own equipment. St. William and Holy Family would share in the cost of all office supplies used in Ada. Fr. will re-evaluate this line-item.
Fr. Tom explained the reasons for the mission parishes paying for mileage and for rectory expenses.
Fr. Tom also reviewed his salary and benefits as set forth by the Diocese; and the 2 employee’s wage and benefit proposals.
The council was in favor of doing a stewardship campaign to raise income to meet expenses this fall.
Fr. Tom will send out a revised budget, as it must be finalized by the end of June.
Next meeting date was not set.
Bonnie Lee- council secretary

Adult faith formation – Bonnie attended the Diocesan information session on Feb 1st about the “Why Catholic” program promoted by Bishop Balke and the Diocese of Crookston. The cost is $1800.00 for the 3-year program per pastor. Which would mean that the 3 parishes would share the cost, probably dividing the cost using the same percentages we use to divide other expenses.
Lenten small groups were discussed. We will offer a ‘book club’ format as we have done the past 2 years. This year’s choice is Scott Hahn’s “Swear To God: The Promise and Power of the Sacraments’. Day and time to be announced.
Youth Faith Formation is going well. 2 youth will be attending the TEC retreat in Feb. Confirmation at Holy Family is set for Sunday, Sept 10, 2006.
Ministry renewal for liturgical ministries will be held Feb 11 in Ada. It is required for EMHC.
Bonnie has looked into the purchase of a Yamaha piano. We will continue to research pianos and check on the spring college/university piano auctions.
Fr. Tom discussed the need to change mass time. The council agreed that the time could be changed to 11:30 am without too much disruption to the parish. Fr. will announce this to the parish and the change will take effect on March 5th.
Tony Hensel and Joan Socha have completed 2 terms on the council and are not eligible for re-election. Parish council elections will be held on Feb 12th. Joe, Tony and Cheryl will recruit candidates. A BIG THANK YOU! to Tony and Joan for their service on the council!

Faith Formation ~ Bonnie reported that a large group was going to the Youth Rally on Oct 20th. The Living Faith and Confirming Faith programs are going very well.
Liturgy - The servers have a new ‘home’ in the front pew. There will be a retreat for all liturgical ministers at St. Joseph Church in Ada in February. We will do a ministry renewal in November.
Fr. Tom handed out the current financial statement and addressed the council on the state of our finances. The balance sheet looks good at this point. The cost of heating fuel is expected to go up dramatically this winter, but it should not affect us much with our current heating system. Fr. Tom requests that all 3 parishes share in the expense of the rectory in Ada. This will begin Jan 1st and will be calculated at the same rate that the 3 parishes currently share other expenses such as wages and office supplies. Fr. Tom stated that he is always willing and available as needed to the parish; and asked that if we know of someone in need or someone requesting a visit that parishioners should always feel free to call him at any time.

The parish kitchen is in need of a new stove. The council approved, and Ron will purchase one from the Hillsboro or Halstad hardware store.
Finances ~ The building loan is at $2487.39. There is $1230.34 in the capital account. This leaves an approximate debt of $1240.00 The council will put in a bulletin insert and a building fund envelope each of the next 3 weeks. A goal was set to have the building paid off by July 1st and a mortgage burning before Fr. David leaves!
The council also approved giving a monetary gift to the Sr. of St. Joseph as a thank you for the many items we have received from them.
A preliminary 2005 – 2006 budget was handed out.
Mission Work ~ Bishop Balke asks all priests and their councils to ‘find a need and do something about it.’ A discussion was held about how the parish could continue to, and increase, its support of mission work locally and abroad. Three charities were discussed – Fr. Jack’s mission in Peru, Care and Share in Crookston and St. Mary’s School in Red Lake, MN. The parish has supported Red Lake by giving our Christmas collection to them each year; Care and Share during the March food drive; and has sponsored Fr. Jack’s mission on a number of occasions. It was suggested that we make a more concerted effort to keep these missions in front of the parish throughout the year, by having a display as part of the Environment of the parish, by educating each other on their mission activities and by inviting parishioners to participate on committees that would bring the needs of the missions to the parish. One goal would be to have a more personal relationship between the people of the parishes and the mission.
Transition ~ Fr. David stated that Bishop Balke has asked him to go back to school this fall. He will be leaving the parishes on July 6th or August 15th. Fr. David will study Canon Law in Ottawa, Canada beginning in September.
The trustees of the parishes along with the parish staff will meet with Fr. Rick Lambert, a representative of the Personnel Board of the Diocese of Crookston, to let them know of specific needs of the parishes as they choose a new pastor for us. Fr. David will invite parishioners to contact one of the trustees if they have a need or concern to bring to this meeting.

The council thanked Fr. David for his wonderful leadership and service to our parish. He will be greatly missed.

Old Business:
The calendar raffle was a success! $9960.00 was raised (498 tickets were sold) with $138.00 for expenses and $2450 given in prizes. The net balance of over $7400 was applied to the building debt. The building debt balance stands at $15,760.00. The hope is to have this paid off by the fall of 2005. Fr David will send out a letter to parishioners as a reminder to continue their donations to the building fund.
Bev Kolness and Cheryl Hemberger were elected to the parish council in February. Election of officers will take place at our July meeting.
There was one group of 11 people that met during Lent to read and discuss the book “The Holy Longing” by Rolheiser. (The OND prints Fr. Rolheiser’s column in their paper.) The people involved enjoyed the group a lot. Fr. David will preview the book The Theology of the Body According to John Paul II: Human Love in the Divine Plan as a possible book for groups to read next year.
Thanks to Carol Nygaard for taking all the pictures that were lying in boxes and putting them into photo albums.
Cemetery: Fr. David and Joe Noel met with Halstad Lutheran’s cemetery committee, Duaine Trandem and Larry Aarestad. They are looking into developing a non-profit corporation with members of Halstad Lutheran Church and Holy Family Church serving as the governing body. The bylaws are yet to be written.
The consensus of the parish council is to continue to pursue a joint, non-profit cemetery corporation with Halstad Lutheran Church.
PIA report: From the last PIA meeting in March it was decided to have a bake sale again instead of the pie sale. The basket sale went well and will be continued. The fall dinner dates were discussed and it was decided to keep the dinner on the Sunday of MEA weekend – this year that should be October 17th or the 24th. The PIA also reported that the Confirmation dinner and Soup Kitchen went well.
New Business:
Holy Family Parish’s 20th anniversary is this fall! Sunday, September 12th was chosen to have an anniversary party following Mass. Details will be discussed at the July meeting. Anyone with ideas is welcome to pass them on to a council member. Fr. David volunteered for the dunking tank!
The financial statement looks very good. The 2004-2005 budget is not completed. Fr. David will contact the trustees to review and approve the budget before July 1st.
Discussion was held concerning the Bear’s Den – The council will draft a letter to the Shelly City Council members voicing concerns about the impending re-opening of the Bear’s Den as an exotic dance club and it’s effect on our families and community. The council also wants to voice their support of the Shelly City Council in its efforts to legally close this dance club. A copy of the letter would also be sent to the Valley Journal.
Lunch was served by Fr. David.

Bev Kolness and Cheryl Hemberger are up for re-election. They have finished
their first terms on the council. Parish election will be held on February

The PIA will have a meeting after Mass in March to discuss the pie/bake

kitchen and the Confirmation dinner.
Picture board:
THANKS Cheryl!! for taking on this project. Cheryl stated that there are a few
families yet to have their pictures taken.
Diocesan Marriage Policy:
Fr. David gave an update concerning the
Diocesan Marriage policy. After receiving feedback from many in the Diocese,
Bishop Balke is still discerning what the marriage policy should be. The Priest
Senate has encouraged Bishop to write a Pastoral Letter on Marriage to initiate
a period of catechesis before any policy be made public. The content of the
policy would then flow from the Pastoral Letter.
Lenten Small Groups:
Two formats will be offered. One will be a discussion group on the book "The
Holy Longing" and the other a discussion guide on the Sunday readings. A sign
up sheet will be put out.
Stewardship Report and Balance sheets

Thursday, October 9, 2003
Present: Fr. David, Kathy Shulstad, Cheryl Hemberger, Tony Hensel, Ron Hemberger,
Bev Kolness, Joan Socha, Joe Noel and Bonnie Lee
Absent: Tom McNamee
Bonnie led our prayer. We read the mission statement together.
Minutes from August 3rd were read. No changes were indicated.
Parish in Action -
Ron Hemberger stated that the plans for the fall dinner scheduled for Oct
19th are coming along fine.
The music festival proposed for November has been canceled as Halstad
Lutheran is possibly going to have a music festival fundraiser. Perhaps they will do one this year and we can host it next year…
The apple pies for the pie sale are almost all done. Kathy Shulstad will
gather people together to start on the pecan pies in November.
Faith Formation
This year’s elementary and high school faith formation has begun.
The first Living Faith night was held Oct 8th. We had 20 youth
participate. It is going very well.
The elementary program, Discovering Faith, has also started.
There is a team of 5 leaders. There are 10 youth in grades K – 6. The first weeks we have had only 4-5 youth participating on Sunday mornings.
Sacramental preparation has also begun for First Reconciliation
and First Communion.
Time and Talent survey forms were reviewed and will be handed out starting on
October 12th.
The Membership picture board was discussed. It was decided that if we want
to continue using the display boards, we should update the pictures every few years. Cheryl Hemberger has agreed to take pictures after Mass of all the people in the parish beginning in November. A letter and schedule will be sent to all parishioners.
Diocesan Marriage Policy: Fr. David informed the council that the Diocesan
Marriage Policy is under review. He asked the council for input concerning a policy on co-habitation. A discussion revealed the following, which Fr. David will pass on to Bishop Balke as recommendations. 1) That whatever the policy is there needs to be a method of sharing it with the Catholics of the Diocese. In times past the marriage policy was read aloud in every parish every year. People knew what the policy was! This practice may not have been the best, but the point is: people need to know in advance the expectations of the Diocese concerning marriage preparation. 2) Concerning co-habitation specifically, our diocesan policy needs to consider the scandal that exists when a marriage is celebrated publicly when the couple has lived together prior to marriage. Fornication is morally grave, and parishes may unwittingly be giving a mixed message when weddings are celebrated publicly when the couple has lived together. A policy might look like this: If a couple is living together when they begin their marriage preparation they are asked to separate prior to setting a date for the wedding. (This date will be at least six months from the time of request) If they will not separate then the wedding will take place privately, so as to minimize the scandal.
Sexual Abuse Policy The Diocese of Crookston has a sexual abuse policy. All
catechists and anyone working with youth must read it, be aware of the procedures for reporting abuse and attend a “Keeping our Children Safe” workshop. We will put a link on our website to the sexual abuse policy for anyone to read.
Cemetery discussion continues. Fr. David and Joe Noel will meet with the
cemetery board this fall.
The Ecumenical Thanksgiving Service will be hosted by Holy Family on
November 26th at 7:00 p.m.
Calendar Raffle sales will begin in Jan. ’04 with the drawing to be held in
March 2004.

Holy Family Council Meeting Minutes
Thursday, August 7, 2003
Present: Fr. David, Kim Noel, Cheryl Hemberger, Tony Hensel, Ron Hemberger,
Bev Kolness, Joan Socha, Joe Noel and Bonnie Lee
Absent: Tom McNamee
Our prayer was led by Bev. Fr. David read the mission statement.
A parish web site was researched by Tony Hensel. He reported that Halstad Telephone would give us web space free. Our web address would be included under the web address of Halstad Telephone. A web site of our own would be $35.00 per year.
We will need to purchase Microsoft Frontpage to design the web page. Suggestions of items to put on the web page were parish leadership, mass times, events (fundraisers), faith formation schedules, homilies. We will move ahead with this project.
Fund raisers: Bonnie researched ideas for fall fundraisers. The first was to have a pie sale instead of the usual bake sale. PIA director, Sue Hemberger, was supportive of the idea. Bev Kolness would like to coordinate the event. Orders for pies will be taken in advance. The parish will get together at Holy Family to make the pies, freeze them and have them ready before Thanksgiving.
The second idea was a music concert at Holy Family on Saturday, November 22nd – the feast of St. Cecilia-patron saint of music. Bonnie has contacted Kurt Vandermeer and he will check his schedule to see if that date is a possibility for the jazz band and other solo or duets from the school to perform.
Cemetery discussion continues. Fr. David and Joe Noel will attend the next cemetery board meeting in Halstad.
The financial reports and 2003-2004 budget were distributed by Fr. David.
Faith formation for the upcoming school year was discussed. Due to declining numbers, the elementary program will be changed from an ‘age-specific’ class format to a ‘single group’ format. The new program will be called “Discovering Faith” and will include prayer, lectionary-based teachings, bible stories, crafts and music.
4 youth and 2 and leaders are working on final plans and fundraising for their November pilgrimage to the National Catholic Youth Conference in Houston.
Evangelization was discussed. Again, we are encouraged to reach out to people – inviting them to become involved in the activities of the parish.
Bob and Kim Noel are moving to Fargo. Fr. David has appointed Kathy Shulstad to replace Kim as trustee for Holy Family. Thank you, Kim, for your service on the council!
Lunch was served by Kim.
